10 Business Processes You Can Automate with Power Automate Today

Every company thinks its processes are unique. After six years of Power Platform delivery, we can tell you: about 80% of the hours we recover come from the same ten workflows. Here they are, in the order we usually build them.
None of these require a data-science team or a platform migration. If you already have Microsoft 365, you have most of what you need — and each of these can be live inside a sprint.
The ten, ranked by payback speed
- 1. Multi-stage approvals. Purchase orders, leave, discounts and expenses routed by amount and department, with escalation on SLA breach and a complete audit trail in Dataverse.
- 2. Invoice and PO processing. AI Builder reads the document, extracts fields, matches against the PO and posts to your ERP. Exceptions go to a review queue instead of a person's inbox.
- 3. Employee onboarding and offboarding. One HR form triggers account creation, licence assignment, asset requests, training enrolment and a manager checklist — and reverses all of it on exit.
- 4. Shared-inbox triage. Classify incoming mail, tag it, create the ticket, draft a reply and notify the owning team in Teams.
- 5. CRM and marketing data sync. Keep Dynamics, your marketing platform and finance in step, with mismatch reports instead of silent overwrites.
- 6. Contract and document lifecycle. Generate from template, route for e-signature, file to the right SharePoint library, then trigger renewal reminders 90 days out.
- 7. Recurring reporting. Pull the data, refresh the Power BI dataset, export the pack and post it to Teams every Monday at 8am.
- 8. Customer feedback loops. Post-delivery surveys, sentiment scoring, and automatic escalation of any detractor response to an account owner.
- 9. Compliance and access reviews. Quarterly attestation campaigns that chase managers automatically and log every decision.
- 10. IT service requests. Self-service catalogue in Teams that provisions common requests without a human touching them.
Typical effort and payback
| Automation | Build effort | Hours saved / month |
|---|---|---|
| Approvals | 1–2 weeks | 40–120 |
| Invoice processing | 3–4 weeks | 80–300 |
| Onboarding | 2–3 weeks | 30–90 |
| Inbox triage | 2 weeks | 60–200 |
| Recurring reporting | 1 week | 20–60 |
Ranges reflect a 50–500 person organisation. Higher transaction volumes shift payback earlier, not later.
Before you start: three guardrails
- Use service accounts, not personal ones — flows owned by an employee die when they leave.
- Apply DLP policies per environment so no one connects production data to a personal storage connector.
- Set error handling and alerts on every flow. A silently failing automation is worse than a manual process.
